This section applies to identified users within an organisation who will be experts in the core capabilities of Sensei IQ and provide application-level support for end users, liaise with Sensei to resolve issues and submit enhancement requests..
Important: This section does not cover any customization of the Sensei IQ application and maintenance of Dynamics 365 and Power Platform settings.
An application administrator in Sensei IQ is required to be an expert in the following areas:
- Architecture and licensing requirements;
As an administrator you will need to understand the core capabilities of Sensei IQ and the 3 levels of solutions; Project, Portfolio and Strategy.
- Managing users and security permissions;
Users are people who can log into Sensei IQ. Users are added by providing a valid license from the Office 365 Admin Portal. If the user has a license for Power Apps, Project Plan 1, 3, or 5, Power Automate, or any Dynamics 365 license they will be added to the enabled users list. Users are added to security roles to give them permissions to the app and related data.
- Classifying types of work and maintaining templates;
With the project defined, the next step is to move to building the project team, identifying the work, establishing dependencies, if appropriate for the delivery approach, assigning resources and estimating the work.
You do this by either developing the project schedule natively in Project IQ or by linking the IQ project to an existing project being managed in a third party execution tool.
- Maintaining the system and configuration settings;
With the project schedule developed, the next step is to confirm how well the current schedule aligns to the initial expectations for the key dates, deliverables and budget recorded at the time the project was approved.
Finally, if appropriate for the project type and your project process, you request approval to move the project to the next stage as well as define a team and channel so that everyone can directly access all aspects of Project IQ from Microsoft Teams.
- Maintaining the effectiveness and adoption of Sensei IQ in the organization;
Project IQ supports collaboration to ensure your project team can use it to track and manage key items for your project such as issues, risks, decisions, change requests, lessons learned and documents.
Beyond the above core areas of subject matter expertise required by administrators, there is additional value dependent upon the size and structure of the organisation to have awareness and understanding in the following:
- Project administration;
Only an IQ administrator will be able to do undertake administrative activities such as deleting project records.
- Portfolio / Program administration;
There are specific administrative functions that a Portfolio or Program manager may need support to complete that does not fit into the typical work you will complete in Portfolio IQ. It covers setting the status, changing, and deleting support item associations, and deleting portfolios and programs.
- Solution customization overview;
Administrators are required to understand what can be customized within Sensei IQ as well as how and why use custom solutions
- Managing the data elements;
Within the Sensei IQ app an administrator is required to understand how tables (entities), relationships, columns (fields), and choice fields (option sets) are utilized and the purpose they serve
- Managing the user interface (UI) elements;
Within the Sensei IQ app an administrator is required to understand the user interface elements, how they are utilized and the purpose they serve
- Managing the logic elements;
Within the Sensei IQ app an administrator is required to understand the logic elements such as business process flows, how they are utilized and the purpose they serve
- Managing the visualization elements;
Within the Sensei IQ app an administrator is required to understand how the visualization elements are utilized and the purpose of charts, dashboards, and embedded Power BI reports
- Obtaining customization support;
It is important for administrators to have an understanding and awareness of tools, resources and best practices for any customization of Sensei IQ
- Microsoft Dataverse and data structure;
It is valuable for Administrators to have an awareness and understanding of Microsoft’s Dataverse and the data structure specific to Sensei IQ
- Customizing report files; and
Administrators awareness of the process for customizing existing report files enables response to specific organisational reporting requirements
- Publishing and maintaining Sensei IQ reports.
It is important for administrators to have awareness and understanding of the process for publishing reports to the Power BI Workspace, and how scheduling refreshes for Power BI Datasets occur
