Introduction to the Timesheet Manager role (05:19)

This section applies to  anyone who wants a deep understanding of Timesheet Management, with a specific focus for individuals who are responsible for ensuring timesheet compliance and approving time submitted in the organization. 

Important: If you are not familiar with the Resources areas, we recommend you review the Overview of Resources area. It will provide you with a working knowledge of these areas in Sensei IQ.

Assuming you already have your bookable resources set up in Sensei IQ, you will then need to configure the system to use the timesheet feature. This might be something you as the timesheet manager can do or you may need to work with your Sensei IQ administrator.


A timesheet manager in Sensei IQ is mainly responsible for:

First, you configure your timesheet settings. This includes updating your bookable resources to indicate which resources are required to enter timesheets and assign timesheet managers.

If your organization is already tracking time, then you have all the information you need to set up timesheets in Sensei IQ.

If you are just beginning to track time, you might need to engage with your finance team and your department leadership to make these decisions appropriately for your organization such as whether you will need to decide if you will track time at the project level or task level.  This is part of the timesheet settings along with other settings that will drive timesheet behavior.

Next, you set up your timesheet periods. You need to decide on the naming convention and day range for your timesheet periods such as starting with the week number followed by year and that each period begins on Monday and ends on Sunday. There is no right or wrong way, it is what works best for your organization.

Sensei IQ timesheet configuration allows you to set up a variety of non-project time categories.  For instance, you may have administrative tasks not related to a specific project which could be tracked as working time separate from specific project tasks in a project schedule. You can also set up non-working time like bereavement, jury duty, sick, vacation, etc.

As part of compliance, you will have the ability to see all the timesheets for the resources you are the timesheet manager for and approve or reject their timesheets.  You can also see if the resource has not yet submitted their timesheet.

This functionality is helpful if someone needs to fill in for either a Timesheet Manager or a Team Member who is not available.

Important: Only Administrators will be able to create new timesheets as a delegate, while both Line and Timesheet Managers can perform all other delegate functions.
