Resource Reporting (10:24)


Welcome to the Resources Reporting. It mainly provides all the information resource managers, line managers, and the PMO need to effectively negotiate and manage the organization’s resources across all your execution tools.


Important: If you are not familiar with Power BI, we recommend you review the Power BI Fundamentals lesson. It will provide you with a working knowledge of the Insights report.

Here is a summary on the purpose of each page, experience the various filtering options, and understanding of how to make this report work best for you.

  • The resource insights report is comprised of nine (9) pages.  The first six (6) pages focus on resource management and the remaining three (3) pages focus on timesheet managers and timesheet data.
  • Also, each page has an info icon in the header, so any time you need real-time help, click on it to open a pop-up info pane containing a basic description of the report page you are on.
  • Information page is a summary page that provides an overview of all the resources in the organization and enables easy navigation to more detailed resource pages.


    Tip: Simply right-click on a resource and use the drill through option to get to the other report pages with a focus on a selected resource, or you can navigate to each page of this report using the tabs at the bottom.
  • Availability page focuses on availability of all resources which is equal to capacity minus committed hours. The default date range for this page is the next twelve (12) calendar months and can be adjusted as needed using the advanced filter pane. Using the resource capacity and requests visual, you can see the number of hours in Committed, Proposed, and Draft states compared to the total capacity of the resource pool in this timeframe. 

  • Requests page contains all the draft and proposed requests for proposals to allow planning for upcoming demand as well as all committed requests on projects to visually identify request trends over time and then you can review specific resources to see requests by initiative.  

  • Assignments Overview page focuses on tasks that have been assigned within project schedules. The data includes native IQ scheduled tasks as well as any tasks synchronized from external execution tools. This page can be used to see all the tasks each resource has assigned regardless of the resource type.

  • Assignments Details page focuses on resources assignments to tasks within project schedules. This page can be used to see resource assignments over time in the ribbon chart with assignment details in the tasks by resource and project table, whether they are named or generic.
  • The final page on this report Allocation Variance page that focuses on the difference between the committed resource requests and the assigned project work from tasks. This page presents allocation variance by resource and allocation variance by resource and initiative visuals. It is important to know that resource availability is based on resource requests not assignments.


As you can see, the Resources Insights report pulls all the data in Resources area together to support more timely project completion with effective resource management across the organization.
