This section applies to anyone who will participate as a team member on a project being delivered using Projects. As a team member you play an important role in keeping both the project schedule up to date to reflect your current task progress as well as all the project support items, like risks and issues that you are involved in. It will focus is on a specific part of Projects called Work areas which is designed specifically for team members.
Important: If you are not familiar with Projects and Work areas, we recommend you review the Overview of Projects and Work areas page. It will provide you with a working knowledge of these areas in Sensei IQ.
You will know what you are licensed for and what you have access to by the options that appear on your home screen and your area picker.
A team member role in Sensei IQ is mainly responsible for:
- Collaborating on the project
Consistent with your organizational policies for using Microsoft Teams, a team and channel in Teams specific to this project should be available. This will allow you to use standard Teams functionality such as conversations, OneNote pages, document management, etc, as well as Project IQ specific tabs allowing you to complete all of this directly in Teams.
Tip: Whether you choose to work in Teams or Work area, you are always accessing and updating the most current project information.
Important: If your organization does not use Teams, Sensei’s Work and Project areas provide you full access to the core project collaboration items. - Submitting Timesheets
If appropriate for your organization, you should submit timesheets to record where you have spent your time during the timesheet reporting period.
Organizational policies define whether project work should be tracked as a single line for each project or whether work will be tracked for each assigned task. Similarly, your organization will define the non-project categories that can be used to track other duties and responsibilities performed during the week. These non-project categories provide insight into the type and requirements of non-project work to help ensure that there is a realistic picture of the resource capacity and demand for all organizational resources.
- Maintaining task status
While your organization or project may implement maintaining task progress differently, Work area, using the native schedule management tool or external execution tools, allows you to directly update the current status for all the tasks you are responsible for. Keeping your tasks up to date is critical for proactive project management as it ensures that the project schedule always reflects the current status based on all team member inputs, which in turn allows the project manager to take appropriate corrective actions to address any slippages in a timely fashion.
- Keeping support items current
Work area has a number of support items, including Issues, Risks, Decisions, and Changes, all of which are assignable to team members. Just as keeping the project tasks updated is important, it is also important that you review all the support items you are responsible for and ensure that they reflect the current status.
- Managing project documents
In addition, Work area also supports a project document library, which is based on SharePoint document management, to allow you to maintain all project documents in a common location. You can work on project documents in either Teams or Projects area.
- Capturing lessons learned
Whenever you encounter a process improvement opportunity, we encourage you to take a moment, while it is fresh in your mind, to capture it as a Lessons learned for your project. These lessons learned can then be reviewed for organizational process improvement initiatives to ensure that all future projects will benefit from the hard work you are putting into this project.
